Short Form Privacy Notice
We, ASN Partners, are the data controllers. Our appointed Data Protection Officer (DPO) can be contacted via email at admin@asnpartners.co.uk.
We collect personal data directly from you, your employer or colleagues, customers, advisers, credit reference agencies, local authorities, and HMRC.
This data is used to manage our relationship with your employer, carry out checks, meet professional obligations, and comply with UK law. We may be required to share your data with HMRC, your employer, spouse/partner, the police, or other authorities.
Your data may be stored on cloud-based or local systems, including systems hosted outside the UK or EU. Where this is the case, appropriate legal safeguards will be in place.
We share data with our insurers, service providers, and local/national authorities where necessary.
Data is retained for the duration of our relationship with your employer, plus 7 years, unless legally required otherwise.
You have rights including access, rectification, erasure, objection, data portability, and withdrawal of consent. You can exercise these rights by contacting us at the address above.
We do not use automated profiling or automated decision-making.
Long Form Privacy Notice
1. Introduction
ASN Partners, an UK accountancy firm, is a data controller under the UK GDPR and Data Protection Act 2018. This Privacy Notice outlines how we collect, use, and safeguard your personal data.
We may update this notice and will publish the most current version on our website.
In cases where we act as a data processor (e.g. for payroll services), a specific data processing schedule will apply in addition to this notice.
2. Purpose of Processing
We process personal data for the following purposes:
- Providing accountancy, tax, and professional services.
- Complying with legal obligations (e.g. AML regulations).
- Fulfilling our ACCA membership responsibilities.
- Investigating complaints or legal disputes.
- Managing invoices, billing, and disputes.
- Marketing relevant services (where consent is given).
3. Legal Bases for Processing
We rely on the following legal bases:
- Your consent.
- Pre-contractual requirements.
- Fulfilment of a contract.
- Legal obligations (e.g. AML laws).

5. Cloud Services & Data Transfers
We use secure UK and EEA-based systems such as:
- Office 365, Outlook, Dropbox, QuickBooks, Xero, Dext, TaxCalc, Client Engager.
Occasionally, data may be processed outside the UK/EU. In such cases, we ensure compliance with legal safeguards, including data protection clauses and security assessments.
6. Data Retention Policy
We retain personal data as follows:
- Tax return clients: 7 years from the end of the tax year.
- Advisory services: 7 years from the end of the business relationship.
- Ongoing clients: Retained as needed and deleted 7 years after relationship ends, unless otherwise agreed or legally required.
For data processors, we will return or delete data 5 years after contract termination.
7. Subject Access Requests (SARs)
You may request access to the personal data we hold about you by emailing admin@asnpartners.co.uk. To verify your identity, please provide:
- Full name and any prior names.
- Date of birth.
- Past addresses
- Reference numbers (e.g. NI, UTR, VAT).
- Copy of passport or driving licence and recent utility bill (if no NI number).
We will respond within one month unless legally extended.

You have the right to:
- Access your personal data (SAR).
- Rectify inaccurate or incomplete data.
- Request erasure (“right to be forgotten”).
- Restrict or object to processing.
- Request data portability in machine-readable format.
- Withdraw consent at any time (this won’t affect previous processing).
